PUBLIC NOTICE REQUEST FOR PROPOSAL
Audio Visual Installation for Administration Building
The County of Craig hereby solicits quotes from qualified Offerors for the installation and equipment build for the audio-visual system for a Board of Supervisors meeting room at the soon to be newly renovated Carter Bank Building.
The Board of Supervisors requires surround sound, monitors, audio and visual recording system for their meeting room that holds seventy-nine (79) people and is 1150 square feet. The system will need to prioritize clear audio for both in-person and remote participants, high-quality video for streaming and ease of use for various users.
AUDIO SYSTEM COMPONENTS– Up to 8 microphones, a digital signal processor, speakers preferably wall mount.
VIDEO DISPLAY SYSTEM– Main Display: Large commercial-grade 4K LED displays or a highlumen laser projector, depending on room size. Confidence Monitors: Smaller screens facing the presenters/ board members so they can see what the public sees. High-definition cameras with auto-tracking features to automatically focus on the speaker. Live Streaming/Recording Hardware: A dedicated encoder to stream platforms like YouTube/Facebook for public transparency
CONTROL AND CONNECTIVITY-touch panel controller, wireless presentation and table connectivity to share screens. HDMI/USB-C cubbies built in to meeting table.
INFRASTRUCTURE AND INSTALLATION– Consider cabling, acoustic treatment for space and equipment storage for a secure ventilated area for housing processors and amplifiers.
In accordance with VA Code §2.2-4303. Methods of Procurement, A, and Virginia Public Procurement Act (VPPA) Request for Proposal, competitive negotiation under $100,000.00. Request for Proposal open May 14th , 2026, and close 12 pm June 17th, 2026.
The Craig County Board of Supervisors reserves the right to reject any and all proposals, including the lowest proposal, or to waive any informality in the proposal process.
